Import Layouts

Import Layouts lists each import layoutAn import layout contains the unique file attributes of a trial balance file(s). These attributes include the delimiter used in the file and the starting row of its data. Also included are the column numbers/letters where the required trial balance data fields reside. Administrators assign import layouts to charts of accounts, and both are used together by the application to validate trial balance files as they are uploaded to the Import Queue. that administrators have created to facilitate the uploading of trial balance files to General Ledger Manager, and enables you to create and manage import layouts.

How Import Layouts is Used

The list of import layouts is made available for the creation and editing of charts of accountsNumbered lists of accounts, including the account codes and their names/descriptions, that make up the general ledgers of companies and that form the bases of trial balances. In General Ledger Manager, you must create a chart of accounts for each trial balance file that you will upload. To each chart of accounts, you must attach an import layout for each trial balance file. The charts of accounts and their import layouts will be applied to their respective trial balance files for file validation when the files are added to the application. in Charts of Accounts, which is the next step of the setup workflow in General Ledger Manager. Administrators must assign an import layout to each chart of accounts they create in General Ledger Manager. Furthermore, the list of import layouts is also made available in the Add a File to Queue routine that users use to manually upload trial balance files to the Import Queue in Import Trial Balances. Users have the option in this routine of uploading a trial balance file using the import layout associated with the selected chart of accounts or choosing a different import layout from Import Layouts.

How Import Layouts is Sorted

The list of import layouts is sorted in ascending alphabetical order by import layout name by default. This sort order cannot be changed, and no other sorts are available for this list. The Import layouts can, however, be filtered by whether they are assigned or not assigned to charts of accounts.

Data Displayed in Import Layouts

Import Layouts displays data about each layout in two panes: The left pane lists each layout in alphabetical order by name along with the name of the person who created it; the right pane displays the details of an import layout when you select it in the list. These details include the file attributes and the column letters/numbers of the trial balance file in which the required trial balance dataEach trial balance data file uploaded to the application must contain a single trial balance with at least one reporting unit, general ledger accounting code, and ending balance. reside, as well as the charts of accountsNumbered lists of accounts, including the account codes and their names/descriptions, that make up the general ledgers of companies and that form the bases of trial balances. To view the details of an import layout, click the radio button next to it in the left pane. Its details display in the right pane. You can only view the details of one import layout at a time.

Functions Available in Import Layouts

In addition to viewing the import layouts, you may also do the following:

• Create an import layout by:

1. Clicking Create in the grid menu above the list of layouts.
2. Choosing how you want to create the layout, either by using a preview of a trial balance or without using one.
3. Entering/selecting the file attributes of a trial balance that will be uploaded to General Ledger Manager.
4. Assigning/entering column letters or numbers to the required trial balance dataEach trial balance data file uploaded to the application must contain a single trial balance with at least one reporting unit, general ledger accounting code, and ending balance..
5. Entering a name for the layout and clicking Create.

Each time you create an import layout, General Ledger Manager returns you to the Import Layouts list view where you can see the new layout in the list.

• Edit an import layout by:

1. Selecting the import layout in the list that you want to edit.
2. Clicking Edit in the grid menu above the list of layouts.
3. Choosing how you want to edit the import layout, either by using a preview of a trial balance file or without using one.
4. Making the necessary changes and clicking Save.

After you finish editing an import layout, General Ledger Manager returns you to the Import Layouts list view.

• Delete an unassigned import layout.
• Filter the list of import layouts by whether they are assigned or unassigned to a chart of accounts.
